Company Overview: Navigos Search's client is a leading provider of medical equipment, committed to enhancing healthcare through innovative solutions. We are currently looking for a dedicated and detail-oriented Sales Admin to provide critical support across our Service Engineer, Logistics, and Finance/Accounting teams.

Key Responsibilities:

1. Administrative Support for Service Engineer Team:

- Processing Service Job Sheets: Manage and process service job sheets, ensuring accurate and timely updates of job status in CRM
- Scheduling Future Work: Schedule future work cases for engineers based on information from tenders and quotations, ensuring efficient resource allocation.
- Quotation Processing: Handle engineering quotations for repair work or spare parts requests from customers, liaising closely with engineers to identify the correct spare parts for accurate quoting.
- Order Processing: Process Purchase Orders (POs) and Sales Orders (SOs) for spare parts, keeping customers informed about delivery updates.
- Customer Follow-up: Follow up with customers on the issuance of POs, service contracts, and billing of parts and services to ensure timely and accurate transactions.
- Coordination with Sales Department: Maintain close communication and coordination with the sales department to ensure that service issues are promptly addressed and resolved.
- Warranty Claims Management: Submit and monitor the closure of warranty claims with Principals, ensuring all claims are processed efficiently.
2. Logistics Coordination:
- Manage logistics tasks, including opening customs declarations, negotiating contracts with suppliers, and coordinating pick-up and delivery schedules with logistics vendors.
- Maintain detailed records of logistics activities and work collaboratively with other departments to ensure smooth operations.
3. Financial and Accounting Support:
- Assist the Finance and Accounting team with tasks such as pricing new products, processing invoices, and tracking budgets.
- Support financial reporting and ensure all transactions comply with company policies and industry regulations.

Job Requirements

Fluent in English, with excellent written and spoken communication skills.
Strong organizational skills with the ability to manage a large workload, prioritize tasks effectively, and maintain a clear overview of responsibilities.
